Food and specialist retail: Operations dashboard for cheesemongers

An operations dashboard for cheesemongers that shows cutting loss by cheese type, dried-out pieces and weight differences on orders, with the order and wheel behind each figure.

Operations dashboard for cheesemongers. An operations dashboard that shows deviations and their source. Example with demonstration data.

Which figures cheesemongers really need.

At cheesemongers, cheese is lost every day without anyone counting it. Rind and edges when cutting, a piece that dried out in the counter, a wheel that turns out to be cracked when opened, tasting samples at the counter. For some varieties the loss is small; for others it adds up fast. Without recording, the owner does not know which cheese is effectively sold too cheaply because cutting loss is not built into the kilo price. It also stays hidden that orders are consistently cut heavier than ordered, which shows up in the margin on large business orders. The conversation stays based on gut feeling.

From scattered figures to one overview.

Define loss and differences

First you agree what counts: loss when opening a wheel, rind and edges, dried out and written off, tastings at the counter. You also decide when a weight difference on an order is worth noticing. A short fixed list keeps reporting quick and makes weeks comparable.

Connect inventory, job cards and till

The dashboard reads the weight of whole wheels on arrival and opening from the inventory, the actual weight of orders from the job cards and kilos sold from the till. For each cheese type that gives a picture of what was bought, sold and lost.

Trace deviations to the source

If the owner sees that one variety produces noticeably more loss, they click through to the wheels and reports. It might turn out that a certain supplier delivers cracked wheels more often, or that a soft cheese is opened too early. That leads to a conversation with the supplier or a different opening rule.

Figures from your own work.

Cutting loss is rarely tracked at the moment. The dashboard uses data that inventory, job cards and till already record, and only asks that opening and write-offs are reported. The owner owns the definitions and kilo prices; staff report what they trim or throw away. Margin and financial figures stay in the accounts; the dashboard is about cheese and ways of working, with no extra admin beside the counter.

Per cheese type or per supplier

Looking per cheese type helps set kilo prices and the cutting loss allowance in quotes. Looking per supplier shows whether the quality of wheels differs between them. Both are valuable; start with what the owner most wants to know now and switch on the other view later.

Weighing everything or calculating

Weighing every bit of rind is precise but not feasible at a busy counter. Calculating the difference between a wheel's weight at opening and the sum of sales and orders gives the loss without extra steps. That works as long as opening and write-offs are reported.

Steering weight differences or accepting them

On an individual order, a little extra is no problem. On a large business order with dozens of boxes it adds up. The dashboard shows the average difference per type of order, so the owner can decide whether large orders need more precise cutting. Individual orders can stay as they are.

Which figures we put on the dashboard.

Cutting loss and write offs per cheese type, the difference between ordered and cut weight per type of order, and click through to wheel, supplier and report: that is what the dashboard shows from the start. We hold it up against an ordinary week and against a week in which a cut wheel turned out to have cracks and was partly written off. Comparisons per supplier and per season can be switched on once enough weeks are in.

Do staff have to weigh every bit of rind?

No. The dashboard calculates cutting loss from a wheel's weight at opening and what was sold and ordered afterwards. Staff only report opening and what they write off, such as a dried-out piece. That takes little time at the counter.

Can we use this to back up our kilo prices?

The dashboard shows how much loss each variety produces. Together with the buying price, that is a sound basis for setting kilo prices and the cutting loss allowance in quotes. The price calculation itself stays with the owner.

What about tastings at the counter?

You can report those as a separate cause, for instance with an estimate per day. They then count neither as cutting loss nor as write-off, and it stays visible how much cheese is deliberately given away to make a sale.

Does the dashboard also show which cheeses do well?

It shows kilos sold per variety next to the loss, so you can see which cheeses sell well with little loss. Revenue and margin belong in the accounts, but the dashboard does show which cheeses take the most work and lose the most.
