Design and creative production: Quotation software for bookbinders

Quotation software for bookbinders that prices the run, binding style, materials and finishing per copy, and records which paper stock and spine width the price assumes.

Quotation software for bookbinders. A quotation that brings assumptions, calculation and approval together. Example with demonstration data.

Where quotes for bookbinders get stuck.

A binding quote rests on lots of small choices. A cloth case binding with foil stamping costs something very different per copy on a run of five than on a run of two hundred, because setting up the machine and making a stamping die happen only once. Bookbinders usually work this out in their own spreadsheet or in their head and type the result into an email. When the customer later switches paper or changes the page count, nobody can trace which spine width the price was based on. That sparks arguments about extra charges that are really a changed specification.

Example
  1. 1

    Start from the specification

    Done

The quote begins with the specification from the enquiry: trim size, page count, paper stock, binding style, cover material and finishing.

  2. 2

    Separate set-up from per-copy costs

    In progress

The calculation splits set-up work, such as making a foil die or adjusting the perfect binder, from costs per copy like materials and handwork.

  3. 3

    Record the proposal and approval

    Next

The customer receives a proposal with the specification, the price and the conditions, such as approval of a dummy before the run starts.

From enquiry to signed quote.

Start from the specification

The quote begins with the specification from the enquiry: trim size, page count, paper stock, binding style, cover material and finishing. The binder fills any gaps and records which spine width and board thickness serve as the basis. Those details stay visible in the quote, so the customer knows exactly what the price is built on.

Separate set-up from per-copy costs

The calculation splits set-up work, such as making a foil die or adjusting the perfect binder, from costs per copy like materials and handwork. The binder instantly sees what a larger or smaller run does to the unit price, and can offer price breaks for different quantities without redoing the whole calculation by hand.

Record the proposal and approval

The customer receives a proposal with the specification, the price and the conditions, such as approval of a dummy before the run starts. Their acceptance is stored with the quote. If the customer then changes the paper or page count, the binder issues a new version and the change stays visible next to the original.

Alongside your calculations and price lists.

For quotes, bookbinders typically use a spreadsheet, a word processor and an accounting package for invoicing. We carry over the existing rates for handwork, materials and set-up from that spreadsheet, so the calculation stays recognisable. The binder maintains the price lists for book cloth, board and foil, and updates them when a supplier raises prices. An accepted quote can later serve as the basis for the invoice, so the agreed lines don't need typing in again.

Price per copy or per run

Publishers and printers usually want a price per copy to compare with their own costing. Private customers with a short run understand a total better. The quote can show both, but decide up front which one is the agreement, so a small change in the run doesn't cause confusion about what the total should be.

Show set-up costs separately or build them in

Listing set-up costs separately makes it clear why five copies are relatively expensive, and heads off the question of why a small reorder doesn't get the old unit price. Building them into the unit price looks simpler but makes reorders harder to explain. For repeat trade customers, showing them separately usually works better.

Dummy included or quoted separately

A dummy shows how the book opens, how the spine sits and whether the material works. On a long run it is almost always part of the job. For a single copy the dummy is effectively the book itself. State in the quote whether a dummy is included and what a second one costs if the first is rejected.

What we prepare in the quotes.

For the bindings that come up most, your set-up costs, material per copy, finishing and a price break for runs are ready in the quote. Together we make an ordinary quote for a bound run, and a quote where the customer picks different paper halfway, so the new version sits next to the old one. Repair work, special materials and the invoice from the accepted quote are added when you are ready.

Can we update material prices ourselves?

Yes. Book cloth, board, foil, headband and endpaper stock sit in a price list you manage. Change a price and it applies to new quotes. Existing quotes keep the price they were drawn up with, so a customer never suddenly sees a different amount on a proposal they already have.

How do we handle a customer who changes the page count later?

You create a new version of the quote based on the revised page count. The software recalculates the spine width and materials and shows what changed from the previous version. The customer approves the new version, and the old one stays on record for reference.

Can the quote allow for handwork that varies per book?

Yes. Alongside fixed rates you can include handwork per copy, such as hand-sewing signatures or tipping in a ribbon marker. You enter how long it takes per book and the software multiplies it across the run, so you don't have to do the sums yourself.

Can we send quotes in English to customers abroad?

Yes, the quote can be produced in Dutch and English with the same specification and calculation. Terms like binding style, headband and endpaper are translated consistently, so an overseas publisher knows exactly what is being offered and nothing gets lost in translation.
