Design and creative production: Customer portal for bookbinders
A customer portal for bookbinders where publishers, printers and private customers review and approve cover proofs, spine widths and specifications, with the status of their job alongside.
What customers of bookbinders want to see.
A bookbinder sends a customer a photo of the dummy, a drawing of the spine lettering or a PDF of the cover with the spine width built in. The reply comes by email, sometimes from someone other than the person who placed the order, sometimes with a change that isn't quite clear. At a publisher an editor, a designer and a production manager all weigh in, and they contradict one another. Which version of the cover was approved, and by whom? Once the book is bound, wrong spine lettering can't be undone. Bookbinders need one place where the proof, the spine width and the approval are kept together.

From invitation to approval.
Decide who sees what
For each job the binder decides who gets access and who may approve. At a publisher several people can look on while only the production manager signs off. A private customer gets simple access without a password, through a personal link that works for that job alone and nothing else.
Show proofs and measurements
In the portal the customer sees the cover proof with the spine width that matches the chosen paper, photos of the dummy and the material specification. Every new version gets a number, and older versions remain visible but marked as superseded. The status shows whether the job is waiting for print, in production or ready.
Tie approvals and comments together
The customer approves a version or leaves a comment on a specific point, such as the position of the spine lettering or the shade of cloth. That comment lands with the right job and version. The binder replies in the portal, so the whole conversation about a proof stays in one thread.
Less email, the same records.
Proofs currently go out as email attachments or through a file-sharing service, and approvals end up scattered across inboxes. The portal pulls proofs and specifications from the job card or quote, so the binder doesn't upload them separately. Printers who already run their own portal for print proofs can keep using it there; the binding portal only covers the binding. The binder owns the specification, the customer owns the approval and comments.
Login or personal link
A publisher with many jobs wants one account covering all their titles. A private customer with one book doesn't want to create an account. Both can coexist: regular customers get a login with an overview, one-off customers a link per job that expires once the books have been handed over.
One approver or several
Letting several people at the customer approve speeds things up but raises the risk that someone signs off on something a colleague disagrees with. One named approver per job is clearer. Others can still look on and leave comments, but the approval comes from one person who carries the decision.
Photo or physical dummy
A photo of the dummy gives a first impression but says little about how the cloth feels or how the book opens. Publishers binding a long run often need a physical dummy. The portal can then record that the dummy was sent out and when the approval came back, so the timeline is clear.

Customers get access per job to cover proofs with spine size and specification in numbered versions, and record approval and comments there. Before the portal opens, we play out an ordinary approval by a private customer together, and a publisher where two people leave conflicting comments, so it is clear how the portal handles that. An overview for regular customers and notifications on status changes are switched on later.

Explore pricing and optionsCan a customer see when their book will be ready?
Yes. The portal shows the job status: waiting for print, in production, ready for collection or shipped. If the schedule holds an expected delivery date, it appears too. If that date changes, the customer sees it in the portal and can receive a notification.
What if a customer wants a change after approving?
They leave a comment in the portal and the binder judges whether the change is still possible. If binding has already started, the earlier approval stands and the change is treated as extra work or a new job. The portal shows exactly when the approval was given.
Can printers announce their deliveries in the portal?
Yes. A printer can record when the sheets were dispatched and how many sheets or signatures are coming. The binder sees that on the job and can adjust the schedule. The print itself is physical, of course, but the notice and the quantities are on record.
Are proofs still available after the books are delivered?
Yes, the approved proof and the specification are kept. That is handy for a reprint, because the customer and the binder can see exactly how the first run was bound. You decide how long jobs stay visible to the customer after delivery.
What often connects to this.
- Digital job cards for bookbindersDigital job cards for bookbinders that bring the binding specification, proof approval and operations for each job together, so everyone at the bench works from the same measurements and materials.
- Website for bookbindersA website for bookbinders that explains binding styles, cover materials and finishes clearly enough that a publisher, PhD candidate or photographer knows beforehand which binding suits their book.
- Enquiry form for bookbindersAn enquiry form for bookbinders that asks for page count, paper stock, trim size and preferred binding, so spine width and feasibility can be judged before the first conversation.
