A swap request does not fill the shift

The original volunteer requested a replacement. The place is confirmed again only after the replacement accepts the shift.

A message to the group is not a confirmed replacement.

Someone cannot attend on Friday and asks the group chat for a replacement. Another person says maybe, but the timetable stays unchanged. The coordinator assumes the shift is covered. We distinguish sign-ups, swap requests and accepted replacements so actual coverage and outstanding action remain visible.

From required help to a confirmed shift.

    Explain tasks and coverage

    Describe the work, arrival time and number of helpers needed. A task involving keys may require different arrangements from helping at reception.

    Make sign-up status clear

    Let volunteers choose suitable shifts and confirm what was recorded. Concurrent sign-ups must not all receive the final place. Interest remains distinguishable when approval is required first.

    Handle swaps without leaving gaps

    Show who requested replacement and whether anyone accepted. Send focused reminders to confirmed participants. Coordinators see open places without rereading every conversation.

Membership records and scheduling need not be the same system.

If the association already maintains membership records, we assess the information needed for scheduling. Not every volunteer is a member and not every member needs every task. Access follows practical roles. Only relevant contact and shift information is transferred, with a clear owner for changes.

An event needs different kinds of help
Separate tasks such as setup and reception. Six sign-ups in total do not establish that every required role is covered.
Someone can attend only part of the evening
Offer suitable time slots or a way to clarify availability. An early-departure note must not disappear behind a full-shift confirmation.
The event moves to another date
Request renewed confirmation where needed. Availability on the original date does not automatically mean acceptance of another evening.

Tasks, roles and communication shape the schedule.

We discuss one-off events, recurring shifts, coordinators, registration rules and reminders. Membership integration or a private area can be included. Vorlyo provides hosting and care under the agreement. The experience remains simple for volunteers who use the system only occasionally.

Can volunteers sign themselves up?

Yes, for shifts opened to self-registration. Some tasks can require approval or a particular role.

Can coordinators schedule someone directly?

Yes, with clear confirmation to the volunteer. The timetable should identify the agreed arrangement.

Can reminders be sent?

Yes, through the agreed channel to the appropriate participants. Schedule changes must also update or cancel old reminders.

Do volunteers need to install an app?

Not necessarily. A usable mobile website may be sufficient for viewing and confirming shifts.
