The regular appointment remains for following weeks. Record a proposal for this lesson and confirm it with the learner before reserving an additional time slot.
An empty room is not necessarily an available lesson.
A teacher has a free hour but the piano room is occupied. A learner wants to reschedule while a parent confirms the appointment and another colleague handles administration. A general calendar often misses those connections. We make availability depend on the required teacher and room, distinguishing proposals, confirmed lessons and cancelled appointments.

Arrange a suitable trial lesson
Collect the instrument, experience and possible times. Check the appropriate teacher and room. A trial remains a separate appointment; an enquiry does not automatically create a recurring lesson series.

Separate regular appointments and exceptions
Define the normal lesson time with its start and end period. Move one lesson without shifting every subsequent appointment. Closures and timetable breaks remain visible to the planning team.

Track make-up lessons and attendance
Record the agreement for a missed lesson. A proposed replacement time becomes definite only after confirmation. Teachers record delivery so a scheduled lesson is not automatically counted as taught.
A lesson record does not have to become a payment line immediately.
Some schools charge by period, others use bundles or individual bookings. We map your arrangements first. Attendance, available credits and invoicing remain distinct data. Where existing administration software already handles this well, we connect to it instead of building a second financial system.

- Keep appointments and instruments separate for each learner while limiting the parent’s view to authorized information. Sharing a contact does not make the timetables interchangeable.
- A teacher teaches several instruments
- Associate the appointment with the right offering and room. Not every free slot is suitable when a specific instrument or room is required.
- A learner leaves during the term
- Review future appointments and retain the previous lesson history. A registration change does not determine financial settlement without checking the agreement.

We discuss individual tuition, groups, sites, teacher roles and who may change appointments. Learner portals, payments and hour exports can form part of the scope. Can we schedule group lessons?
Yes, with group capacity and individual enrolments. This differs from a private appointment with one teacher.
Can learners move their own lessons?
Yes, within the agreed options. We check suitable times and identify when the school needs to approve a change first.
Can teachers see only their own lessons?
Yes. Roles for teachers, planning and administration mean staff do not all need access to every learner’s information.
Can this support lesson bundles?
Yes, with explicit consumption, validity and correction rules. A cancelled appointment must not deduct credit without following the agreed handling.
