Count returns before the next dispatch

Two chairs are missing from the return count. Check the delivery and record any damage before releasing stock for another rental.

Returned on Monday does not mean ready to rent again.

Chairs return after a weekend rental. Some need cleaning and two are missing, yet all eighty are already assigned to another booking. A calendar based only on event dates misses that distinction. We build availability around blocked periods, quantities and return status, allowing preparation and inspection between rentals.

    Compare the request with availability

    Collect delivery and collection times as well as the event date. Distinguish provisional holds from confirmed bookings. Package components must be available together; counting only the package name is insufficient.

    Pick and dispatch

    Prepare an order pick list and record what actually leaves. Substituted items remain visible against the order. Serial numbers suit individual equipment, while quantities work better for identical chairs or glasses.

  3. 03

    Receive and release

    Compare dispatch records with returned quantities. Separate missing, damaged and uncleaned items from usable stock. Subsequent bookings use only quantities released after inspection.

Availability and invoicing have different responsibilities.

Your accounting system can issue invoices while the rental environment manages schedules and equipment status. We agree which system owns reservations, payments and stock. A paid invoice does not automatically mean an order has been dispatched; a return notification does not prove every item was inspected. These events are processed separately.

A customer extends the hire period
Check the effect on subsequent reservations before changing the end date. An unchecked extension can promise the same equipment twice.
A package contains several components
Reserve the corresponding cables, stands or fittings as well. Record substitutions so the return list still matches the dispatched items.
Only some items come back
Record a partial return and leave the remainder outstanding. Released items can become available without incorrectly closing the entire order.

Quantities, periods and logistics establish the foundation.

We determine whether you hire individual products, assembled packages or serial-numbered equipment. Locations, delivery routes, deposits, online payments and barcode handling are scoped separately. Vorlyo provides hosting, care and further development under the agreed terms. A suitable existing rental application can also provide the starting point for a website or integration.

Can customers see availability online?

Yes, when stock and reservations are maintained reliably enough. Otherwise, the website can collect a request for your team to confirm.

Can we block time for cleaning?

Yes. The unavailable period can extend beyond the event itself. We establish preparation and return buffers for each equipment group.

Does this support deposits and damage?

Deposit records and damage handling can be included. Settlement follows your agreed terms; reported damage is not automatically charged without review.

Can we use warehouse scanners?

Yes, with suitable labels and hardware. We first decide whether to track quantities, unique items or both, then test the selected scanning workflow.
