Include preparation in availability
Check the room together with its preparation time. A visible two-hour opening is insufficient if the previous booking ends immediately beforehand.
An available room does not mean the same booking for every user.
Members may have included meeting hours, external guests pay per booking and teams need several nearby desks. A room also needs preparation between appointments. A general calendar misses these differences. We organize bookings around the resources and agreements your location actually offers.
From an available option to a confirmed space.
- 01
Choose the appropriate use
Distinguish day passes, fixed desks and meeting rooms. A pool of ten flexible desks differs from one specific room. Show facilities that matter for the choice.
- 02
Check availability and entitlements
Check date, duration, capacity and preparation. Apply agreed member rights without assuming everyone has identical credit. Concurrent requests must not both receive the final place.
- 03
Confirm and handle changes
Explain when a reservation is definite and what access information follows. Changes or cancellations update space and credits according to the agreement. Failed payment is not presented as a confirmed guest booking.
A reservation and an access pass are different components.
If you already use access control, member administration or invoicing, we examine how bookings can connect. A confirmed room does not automatically grant access throughout the building. We define what information reaches each system and how staff identify failed integrations.
- A company books for several colleagues
- Identify the booking owner and participant count. A company account administrator may have different permissions from an individual member.
- A member has insufficient included hours
- Show the amount outside their allowance before confirmation. A booking must not unexpectedly be represented as fully included afterwards.
- A room is temporarily unavailable
- Block new requests and flag existing reservations for follow-up. Removing a room from the form does not resolve previous bookings.
Start with rooms, capacity and membership agreements.
We discuss sites, booking types, intervals, pricing, credits and cancellation. Payments, access systems and invoicing are separate integrations within scope. Vorlyo provides hosting and care under the agreement. An initial implementation can focus on the booking journey that currently needs the most coordination.
Good to know.
Can members and external guests use the same calendar?
Yes, with appropriate permissions and pricing. Available options can differ by user or account type.
Can memberships include meeting-room hours?
Yes, with explicit accrual, usage and validity rules. We also define what happens after cancellation or rescheduling.
Can we manage several locations?
Yes. Rooms, hours and facilities stay associated with the right site so users do not accidentally book elsewhere.
Can bookings provide an access code?
Only through a suitable controlled integration. We establish the permitted room and period, including how booking changes affect access.
