Do not close the entire shipment

Seven packages were recorded as delivered. The missing package remains open for investigation and the customer does not receive a full-delivery confirmation.

Completing a stop does not mean everything was received.

A driver finishes at an address but one package is missing or the recipient accepts only part. If the system only offers complete or incomplete, customers may receive an incorrect confirmation. We organize records around shipments, quantities and exceptions. Dispatch can see what arrived and which follow-up remains necessary.

From loading list to a traceable delivery.

    Identify the shipment and stop

    Associate the assignment with a clear reference and expected goods. One address may receive several shipments; selecting the location alone is insufficient to close the correct order.

    Record the actual result

    Let drivers record quantities and the relevant outcome. Absence, refusal and partial receipt are different situations. Photographs or notes can explain the result but must remain attached to the shipment.

    Pass exceptions to the office

    Route missing or damaged items to the agreed follow-up. Show what was communicated to the customer and what remains open. A new attempt receives its own record without overwriting the earlier situation.

Connect recording to your transport planning.

If your TMS already manages trips, a focused mobile extension may be sufficient. We assess which assignments it can provide and how statuses return. Drivers should not enter the same result twice. A received record and a successfully updated TMS status are tracked separately when an integration fails.

Connectivity drops during unloading
Where offline use is required, distinguish locally saved records from pending synchronization. A local delivery record must not be presented as already received by the office.
The recipient refuses one item
Record refusal against that item while preserving accepted quantities. Further transport or return requires its own next step.
An earlier result is corrected
Retain who made the correction and why. Quantity changes remain identifiable to colleagues who acted on the previous information.

Shipment structure determines the appropriate record.

We discuss packages, pallets or order lines, driver roles, scanning, attachments and TMS integration. Offline support and customer messages are scoped separately. Vorlyo provides hosting and care under the agreement. Required delivery evidence is established with your team; a digital record is not given an automatic guarantee of legal standing.

Can drivers use this on a phone?

Yes, with clear controls for the required recording. We assess working conditions and whether scanning or offline access is needed.

Can delivery photographs be retained?

Yes, for the agreed purpose with suitable access and retention. Not every shipment needs a photograph by default.

Can customers see status?

Yes, through a portal or message. We agree which status is useful to customers and which internal details remain with the team.

Does this replace route planning?

No. Delivery recording is a separate component and can connect to existing trip or route planning without rebuilding it.
