The shift has been reassigned. Confirm that the team member knows the site instructions before finalizing the schedule.

Changing a name in the calendar is not a complete handover.

A colleague cannot attend an evening visit. A replacement is available but does not know the site access instructions or unusual tasks. The planner follows up by phone while the original assignment remains in a shared sheet. We connect each shift to its site, task agreements and assigned person so a change can be handled in one place.

    Define assignments per site

    Record frequency, time window and tasks. Keep occasional work separate from recurring visits so a one-off addition does not silently repeat every week.

    Schedule and communicate changes

    Assign available staff and check site access. Replacements see the relevant instructions; previous assignments do not remain active alongside them.

  3. 03

    Separate completion from inspection

    Staff mark visits completed and can report exceptions. A supervisor’s inspection receives its own status. Completed work does not automatically mean a quality check has occurred.

Time recording is not automatically payroll processing.

If you already use staff or accounting software, we examine which information scheduling should pass on. Planned, reported and approved hours remain distinct. Processing rules are agreed with your team; the application does not make employment decisions based solely on a time-record discrepancy.

A client closes a site temporarily
Pause the affected visits without deleting the recurring schedule. Show when regular service resumes.
A team member cannot enter
Record the access issue against the assignment. Failed access must not be recorded as completed cleaning.
An additional task arrives
Record its work and agreements separately. Planners see the additional workload alongside the existing round before assigning someone.

Sites and handovers determine the required scope.

We discuss sites, teams, recurring schedules, languages and mobile access. Time exports, client portals and inspection forms are separate scope items. Sensitive site instructions receive appropriate access controls. Vorlyo provides hosting and care under the agreement. Offline access is included only when conditions at the sites call for it.

Can staff view the schedule on their phones?

Yes, through a mobile view of their assignments and relevant instructions. A separate native app is not always needed.

Can we schedule recurring weekly visits?

Yes, with exceptions for closures, holidays or changed assignments. One alteration need not replace the entire schedule.

Can clients report an issue?

A client area can associate reports with a site. Your team determines follow-up and which status the client sees.

Do staff need continuous location tracking?

No. Continuous tracking is not the starting point for scheduling or assignment status. We collect only information needed for the agreed workflow.
