AI customer service, when does it actually work?

AI customer service does not work simply because there is a chatbot on your site. It works when the bot understands your processes, knowledge base and escalation path.

Start with the top 20 questions

Review inboxes, chat logs and phone calls. Which questions return every week? Those should shape the first version, not the latest AI demo.

  • Status questions: order, project, appointment or ticket.
  • Decision support: which product, package or service fits?
  • Intake: collect details before a team member steps in.

Fallback determines trust

Good AI sometimes says: ‘I am not certain’. It should then hand over cleanly to email, phone, WhatsApp or your CRM.

Important: do not let AI invent policy. Use approved answers and keep human control over sensitive actions.
