Find a suitable group first
Check the lesson level and available places. Then send an offer with a response deadline; assign the place only after confirmation.
An available place does not fit every application.
A parent requests Saturday, but the free place is on Wednesday or requires a different level. A basic booking calendar does not solve that mismatch. We separate enrolments, waiting lists and placement offers. Your team can compare preferences and capacity without treating every application as confirmed attendance.

Record preferences carefully
Ask for details needed for enrolment and placement, such as location, preferred session and relevant lesson experience. Associate parent or guardian contact details clearly with the application. Do not collect extensive personal information that this step does not require.

Offer a suitable group
Staff assess level and available capacity. Define how long an offer remains valid and whether a place is held temporarily. Avoid promising the same place to several people at once.

Track participation and changes
After confirmation, the participant joins the correct group and parents receive practical information. Transfers, absences and any replacement lessons follow agreed rules. A missed session does not automatically free a permanent place for a new enrolment.
Capacity belongs to a group and a particular session.
Pool space, instructors and lesson levels can all affect planning. We discuss where those details are managed and which information the software needs. An existing pupil administration package can remain the foundation if improved enrolment or a parent portal is sufficient.
- A long waiting list for a preferred day
- Retain the original preference and offer alternatives clearly. Declining an alternative should not silently remove the entire application.
- Moving to another lesson level
- An instructor decides when progression is appropriate. Software supports group availability and communication; assessment remains with the swim school.
- An additional holiday course
- Treat a short course with its own dates and capacity separately from recurring lessons. Parents should understand which series they are joining.
Placement rules matter more than a polished calendar.
We inventory locations, groups, lesson series, waiting-list rules and parent communication. Payments, replacement lessons, progress records and existing-system integrations are explicitly scoped. Can parents specify several preferred sessions?
Yes. Preferences can be recorded without counting them as separate enrolments. The swim school decides how placement offers are made.
Can a place be booked immediately online?
For a defined group with reliable availability, yes. Where level or suitability needs review first, an application remains a request.
Can parents move a lesson themselves?
That is possible when agreed rules and capacity permit. Both sessions and the parent confirmation must reflect the change.
Does this replace the instructor’s judgement?
No. The school determines level and progression. Software supports records, scheduling and communication.
