Most documents have arrived. Link the remaining question to the relevant payment instead of sending the complete document request again.
A full upload folder is not a complete client file.
Clients send documents across several email threads. Staff must establish the relevant period and whether an earlier question has been answered. Meanwhile, the client receives another general reminder. We build a portal that tracks submission, review and questions separately. Reminders can address the missing item rather than asking for the entire file again.

Request by file and period
Explain which documents are needed and why. Give recurring requests a distinct period so last quarter’s file is not mistaken for a new submission. A colleague determines which requests apply to the client.

Separate receipt from review
Confirm that a file has arrived without implying that it is correct, readable or complete. The assigned colleague can accept it for further processing or request a specific clarification.

Keep questions with the relevant item
Associate clarification with the document or submission task. Retain the response there and stop the corresponding reminder when it arrives. Your colleague decides whether the answer is sufficient.

A client portal does not need to become another accounting system. We examine how document requests and file status connect to existing practice software. Decide which files remain in the portal and which move into the document system. Integration depends on access, supported fields and error handling; a product name alone does not establish compatibility.

- Ask the user to select the relevant file deliberately. Permission for one company must not automatically expose another company’s documents.
- A client submits a revised document
- Preserve the association with the original request and identify the new version. The reviewer must be able to see which version was assessed.
- Another colleague takes over
- Show outstanding questions and earlier replies during the handover. Reassign the file without requiring clients to explain everything again.

Yes. Checklists can follow the file and reporting period, with staff able to omit irrelevant requests.
Can reminders be sent automatically?
Yes, based on outstanding tasks and agreed timing. Received documents should not be requested again as missing items.
Will clients only see their own documents?
That is the starting point. Access by client, company and staff member is implemented and checked during development.
Does this replace our document system?
Not necessarily. It can handle client-facing collection while your existing application continues supporting internal processing.
