The client received a proof based on version 3. A new file requires another review; previous approval does not automatically transfer.
Receiving artwork does not mean production can begin.
A quotation assumes a particular paper and size, but the client later sends revised artwork and requests different finishing. When files and agreements sit in separate emails, production staff must reconstruct what still applies. We connect specifications to the enquiry while keeping file versions, checks and approval distinct.

Collect a focused specification
Ask for size, quantity, paper and finishing in a way that fits your products. Leave uncertain choices open for advice rather than making clients choose arbitrary options. Bespoke requests can go to an estimator first.

Associate files with the correct enquiry
Retain the submitted version and record which checks occurred. A successful upload only confirms receipt. Technical artwork checks and editorial proofreading are different activities.

Record the proof and release
Present the proof with its specifications and associate approval with that version. Subsequent changes make the need for further review visible before production is released.
Keep capable estimating and production systems in place.
A client portal can handle the front end without replacing internal print software. We examine which enquiry details and statuses can be transferred. A public configurator need not expose the full complexity of internal estimating. Immediate prices are calculated only for combinations supported by reliable rules from your business.
- A client repeats an earlier order
- Retrieve the product and file, but reconfirm quantity, address and current terms. A repeat order must not silently reuse outdated artwork.
- The quantity changes after quotation
- Flag the proposal for review. A different quantity can change the assumptions; the previous price is not automatically preserved.
- One order ships to several addresses
- Record quantities by destination and check their total. Shipping information belongs with the order rather than only in a free-text note.
Product variations and production handover define the scope.
We discuss product groups, submission formats, pricing rules, file storage and approval roles. Payments, repeat orders and integrations are estimated separately. Yes, for the products and combinations you choose to offer. Unusual requests can proceed to a quotation instead of an unreliable automatic price.
Are files checked automatically?
Upload validation and specialist artwork checks are different features. We assess whether your existing review process can connect and which checks remain manual.
Can proof approval be recorded digitally?
Yes, referring to the correct version and specifications. We agree who may approve and what must be repeated after a change.
Can business clients use negotiated terms?
Yes, with account access and the agreed products or prices. Clients see only the information intended for their account.
