A customer books a brake check. Inspection reveals a worn cable and a part that needs ordering. When the calendar only contains a time slot, these dependencies disappear into separate notes. We connect the appointment to a job record with distinct diagnosis, parts and approval states. A bicycle is not treated as ready simply because its scheduled hour has elapsed.

Three handovers that keep the workshop organized.

    Receive and identify

    Record the issue, identifying bicycle details and accessories left with it. Associate an internal job reference with the bicycle so another colleague can find it without relying only on a name or colour.

    Inspect and agree

    Mechanics add findings and proposed work. Separate approved repairs from additional work awaiting permission. Ordered parts and received parts have different statuses.

  3. 03

    Finish and arrange collection

    Record completed work and the final check before sending a collection message. Keep ready, collected and paid distinct so bicycles still in storage remain visible.

One customer brings two bicycles
Create a separate job for each bicycle with its own issue, parts and completion message. Sharing a contact does not mean both repairs finish together.
A part arrives later
Keep the job waiting for material and allocate repair time once it arrives. A shipment in transit should not produce a firm collection promise.
Additional work is declined
Retain the original approval and exclude declined additions. Mechanics can see what may proceed without reconstructing the conversation.

Yes, for an agreed purpose such as recording condition on arrival. Access and retention are configured deliberately.

Will this connect to our existing till?

We assess its integration options and the information to exchange. Compatibility is checked before agreeing the implementation.

Can customers approve additional work?

Yes, through a clear proposal and recorded response. If the proposal changes, the approved version must remain identifiable.
